What EHR integration to check before buying a voice AI agent

A voice AI agent can sound right on the call and still leave work for your team to finish. If you are buying EHR integration, you need to see what actually lands in the system your practice uses.

Hello Patient builds AI agents for healthcare. On phone and SMS, its agents can find or create a patient record, book an available visit under the scheduling rules your practice sets and leave a note on the appointment. This page gives you eight checks to see what the agent can do for your practice, what the demo proves and what still needs an answer.

Keep a short acceptance record while you watch the demo. These eight checks give you something specific to put in it.

What should an integration demonstration actually prove?

It should prove where the patient's request ended up. Look for a completed appointment in the schedule, a booking link the patient still needs to use, or a request someone at the practice has to finish.

Those are three different results. A booking link may be exactly what you want, but write down that a link was sent. If you are buying an agent that books during the conversation, ask to see the appointment in the schedule.

The Carbon Health after-hours case study shows Hello Patient's AI agent answering after-hours calls and texting patients booking links.

Can the agent find the right patient?

Ask the vendor to show both a successful patient lookup and an established patient whose record cannot be matched. You want to see what the agent does in both cases without guessing who the caller is.

Check 1: Find an existing patient record. Use an approved test patient and inspect the record the agent selects. For Hello Patient, phone and SMS record lookup typically uses the phone number and date of birth. Check enough of the result to know the requested action is using the right test record.

Check 2: Show a failed lookup. A new patient may need a new record with the fields needed for scheduling. An established patient whose record cannot be found is different. Hello Patient's agents look for the existing record first, so a returning patient keeps one chart. Ask to see both cases and write down where each request ended up.

Where did the booking and its appointment note land?

Look at the appointment and its note for the same request. Hearing the agent say the visit is booked is not enough.

Check 3: Find the appointment. Give the vendor a location, provider and visit type that are part of the setup you are considering. Then find the appointment in the scheduling system and compare it with what you asked for. Hello Patient's agents book straight into your schedule, within the locations, providers and visit types your practice sets, so the time the patient hears is the time on your calendar.

Check 4: Inspect the note on that appointment. Hello Patient's agents leave a note on the appointment. Ask the vendor to show you where that note appears in the setup proposed for your practice and what it contains for this request. Write down where you saw the note, so your team knows where to find it.

What happens while the scheduling system is unavailable?

Ask the vendor to show what happens when the scheduling system is slow or unavailable. Listen to what the patient hears, then see how the unfinished request gets to staff.

Check 5: Listen through the failure. Listen for what the agent says before the system has returned a successful result. Find the point where the request is left unfinished. If the vendor cannot show this condition, write it down as something the demo did not prove.

Check 6: Inspect what staff receive. Ask who can see the unfinished request, where they see it and whether they can tell what the patient asked for. Have the vendor show you that destination.

Is the requested action available for your practice today?

Ask for dated evidence that the exact action you want works today in the setup proposed for your practice. Do not count a planned release as an action you can use now.

Check 7: Establish what is live now. A system logo tells you the vendor claims a connection. A demo lets you see what that connection does. Evidence from a practice using the integration shows what is actually in use. Ask which kind of evidence the vendor has shown for the action you want.

Write down the action and the date of the evidence. If it depends on a future release, write that beside the action. If the vendor shows a different visit type or a different practice setup, your original action still needs to be proved.

How do you put the checks together in one test?

Run one defined request from a known starting point, inspect the result, then run a defined failure. Use approved test data instead of real patient identifiers.

Check 8: Follow the request through the full sequence. Start with the test record you expect to use and the appointment state you expect to see. Make the agreed request. Then inspect where the booking landed and the note on the appointment. Compare those results with what the agent told the patient.

Next, run the agreed failure condition and inspect the unfinished request. Write down anything that happened differently from what you expected. Agree with the vendor on where to run the test. You do not need to change the live system your practice uses every day.

If the vendor cannot show a step, leave it open. You now have a specific item to come back to instead of treating the rest of the demo as proof of something you did not see.

What should you get in writing after the demo?

Get a short acceptance record that ties each action you asked for to the evidence you saw. Include anything that is still open, who is responsible for resolving it and what decision depends on the answer.

For example, your record might say that you saw the requested test visit in the schedule and inspected its appointment note, but the failed lookup still needs to be shown. Name the person responsible for that follow-up and decide whether you need the answer before moving ahead.

Frequently asked questions

Does an AI voice agent’s EHR connection mean every appointment action is enabled?

With Hello Patient, your practice chooses which appointment actions are turned on. Hello Patient's agents find the patient's record and existing appointments in your EHR, then book, reschedule, cancel and confirm visits by phone and SMS, inside the scheduling rules your practice sets. Make sure the proposal names each appointment action you want and each visit type you plan to use. Then ask the vendor to show each of those actions working in the demo.

Who should attend an AI voice agent demo, and what should our practice prepare?

For a Hello Patient evaluation, bring someone who can inspect the scheduling screen or destination and someone who can approve the test scenario and data. One person can do both. Agree on the appointment action before the demo so everyone knows what has to be shown. Ask the vendor what system the demo runs on and whether it differs from the setup proposed for your practice. Arrange viewing access before the demo. See the security and trust guide for the related privacy review.

What should we check when a newly created test patient contacts the AI voice agent again?

Ask Hello Patient's agent to handle a second approved contact after the new test record is created. Then check whether it finds that same record again. Inspect the record it selects instead of assuming success because the greeting sounds familiar or the conversation continues smoothly. Hello Patient's agents look for the existing record first, usually by phone number and date of birth, so a returning patient keeps one chart. Write down which record the agent chose on each contact.

What should we check when a test patient asks the AI voice agent to reschedule a visit?

Check that Hello Patient's agent finds the test patient's booked visit in your EHR and moves it to a new time inside the scheduling rules your practice sets. Book an approved test visit first, then contact the agent by phone or SMS as that test patient and ask to move it. Find the new time in the schedule and compare it with what the agent told the patient. If your practice plans to let patients cancel too, run the same check for a cancellation.

How do Hello Patient's AI agents work with our practice's EHR?

Hello Patient integrates with the EHR, practice management, and CRM systems healthcare already runs on. In your EHR, Hello Patient's agents find the patient's record and existing appointments, or create the record for a new patient. They book, reschedule and cancel visits and leave a note on the appointment with what the patient said. The record actions discussed here apply to phone and SMS. See the AI medical receptionist page for the wider role. Your practice sets the locations, providers and visit types the agent books.

What should an AI voice agent include in a healthcare appointment note?

For a Hello Patient setup, your practice and the vendor agree on what scheduling information the appointment note carries and what staff should learn from it, such as the patient's appointment request and what the patient said. Ask the vendor to spell out that content before you accept the setup. The note can then be checked against what your team agreed to see. In the demo, read the note on the test appointment and compare it with the test call.
