A dog starts limping on a Thursday. The client calls, and the first opening is Monday. Over the weekend the limp settles. By Monday morning the dog is taking the stairs the way he always has and standing by the door waiting to go out. The client looks at him and calls to say she does not need to bring him in.

She cannot tell whether the limp means the dog is better or means the dog is having a good morning. She is just the only person in the house who can see him.

She sees an animal that looks fine, and that is the whole of the evidence she has.

The limp is gone. The ear the dog was scratching raw on Saturday has not been touched since. Or the carrier is the problem: the cat went under the bed the moment the carrier came out of the closet, and after twenty minutes the client gives up and calls to say she cannot get him in.

None of that reaches your hospital. Your team has a record with a reason for the visit on it, written down eleven days ago by whoever took the call. A limp that goes away is not the same thing as a problem that goes away, and only your veterinarian can say which one this is.

She heard it once, at booking, from somebody reading it off a card, three weeks before the morning it mattered.

Your client pays out of her own pocket, and there is no insurer in the middle to absorb a lost slot, so a deposit or a late-cancellation charge does real work in a veterinary hospital. It only does that work if she has it in front of her at the moment she is deciding.
