A patient can text your practice after the front desk has gone home and ask to move an appointment to another office. The message arrived. The question is who answers it and who finishes the request.
Hello Patient builds AI agents for healthcare. The agents answer practice questions, handle the appointment work your practice sets up and pass the requests you route to staff along with what the patient said. They can work beside the reminders, texting tools, portals and follow-up software you use.
This page explains what each type of patient communication software does and where an AI agent fits.
What work are you buying with patient communication software?
You are buying software that sends a message, handles a reply, collects something from the patient or completes a request. One platform may do several of those jobs.
Reminders and broadcasts send information or ask for a response. A two-way inbox lets patients and staff text each other. Portals, forms and payment tools give patients a place to submit information or take an action. An AI agent can keep the conversation going and do the work your practice has assigned to it.
Weave’s dental page includes reminders, text conversations, website self-scheduling and digital forms, and advertises an AI receptionist. Before you buy, ask which modules are included and what each one can finish.
What do reminders finish?
A reminder finishes the job it was set up to do when it sends the message and records the expected response.
Weave’s reminder product describes custom phone, text and email reminders, confirmation or decline responses on the calendar, and cancellation follow-up with a website booking link.
If you want to go deeper on reminder work, see our guides to reducing patient no-shows and patient recall.
Who answers after staff leave?
That depends on who your practice has assigned to the incoming message.
Two-way texting gives patients and staff a place to exchange messages, and the patient can start the conversation too. If a patient asks to move an appointment after the office closes, you need to know whether that message waits for staff or whether automated help can handle it.
With Hello Patient, the agent answers practice questions using approved information and handles the appointment work your practice sets up. Existing-patient appointment work runs on phone and text. The agent sends the requests you route to staff by voice transfer or as a message or ticket, with what the patient said, so your team starts from there. Your practice decides before launch where those requests go and who owns them.
ModMed Patient Engagement offers app-free two-way texting and advertises automated assistance. Ask which features are part of the product you are buying and what they can do for your practice. The page notes that some features are not available to every practice, and that some may not be available yet.
If staff own every incoming message, the request waits for them. If automated assistance handles some requests, decide where that work stops and staff take over. That needs to be clear at each location.
You can try a sample agent or book a call to request a free demo agent for your practice. Bring your question.
Where do portals and forms fit?
Portals, forms and payment tools keep doing the jobs they were built to do. Hello Patient’s agents work beside them.
These tools give the patient somewhere to submit information, use a portal or make a payment. The agent may help the patient get to that step.
Our guide to an intake agent versus a portal form compares the two in more detail. For payment-related work, see getting patient bills paid faster.
What does follow-up software do?
Follow-up software can send a reminder, ask for feedback or continue a conversation with a patient. Start by asking what kind of follow-up the product is meant to handle.
Surveys and experience requests collect feedback. Reminders prompt a patient about an appointment or another action. Conversational follow-up lets the patient reply, ask a question and make a request.
Hello Patient’s outbound work includes confirmations and reminders, callbacks, abandoned sign-up recovery, reactivation and referral outreach.
When a patient wants to book, the agent finds open times inside the scheduling rules your practice sets. It books the visit straight into your schedule, so the time the patient hears is the time on your calendar. Your practice can also have the agent text a personalized self-scheduling link, and the patient completes the booking through that link.
Carbon Health’s public case study reports that 40% of patients who received an after-hours SMS booking link booked an appointment.
Where does an AI agent fit?
An AI agent fits beside the tools you keep and takes responsibility for the patient conversations you assign to it.
Hello Patient integrates with the EHR, practice management, and CRM systems healthcare already runs on.
Before launch, decide what the agent can read or change in your system and which locations and visits it covers. Decide how staff will receive anything the agent sends to them.
Phone and text support existing-patient appointment work. On your website, web chat answers questions and books visits.
Our AI medical receptionist guide covers the broader role, and the patient scheduling agent page goes deeper into appointment work. For security and privacy questions, use our HIPAA compliance guide alongside the setup you are considering.
What should you ask each vendor?
Ask the platform vendor exactly which modules you are buying, and ask the agent vendor which patient requests its agent can finish. Sometimes one vendor needs to answer both questions.
For a platform, ask what sends the message, where replies arrive and who handles them. Ask the same questions about the products you plan to keep.
For an agent, bring a real patient request. Ask the vendor to show which parts the agent handles and which parts go to your team. Use the same request with each vendor so you can compare the work directly.

Frequently asked questions
Who owns a patient's unfinished message when the receptionist's shift ends?
Your practice decides who owns it next. Hello Patient’s agent sends the requests your practice routes to staff by voice transfer or as a message or ticket, with what the patient said. Before launch, name the person or team that receives those handoffs. Decide how the next shift sees unfinished work and who covers when the usual owner is unavailable. Do this for each location. If you use another vendor’s shared inbox, decide where the handoff will arrive and who will watch it.
Is patient communication software HIPAA compliant by default?
For patient communication software and for an AI agent built by Hello Patient, HIPAA compliance comes from how the product is used and the agreement behind it. HHS explains business-associate status through services performed on behalf of a covered entity involving protected health information, describes business associate agreement obligations and identifies exceptions. The vendor’s role, your proposed use and the agreement all matter. Have the person responsible for privacy review the setup for your practice. This is not legal advice or a compliance determination. Our HIPAA compliance guide gives more context for AI receptionist work.
Does an AI agent replace patient communication software or work beside it?
Hello Patient’s AI agents can work beside patient communication products you keep. Before launch, give one person ownership of dividing the work between them. Decide which product starts each type of patient contact and what triggers that contact. If two products could contact the same patient about the same task, choose which one does it so patients do not get duplicate or conflicting messages. Write down where handoffs go and which staff own them. You still need these decisions when one vendor supplies several modules.
What is the difference between patient messaging software and an AI agent that texts patients?
The difference is what each product does with an open-ended patient message, whether it is messaging software or an AI agent built by Hello Patient. Test the difference with a real message. Send a practice question, then ask to change an appointment. Watch whether the product answers, completes the allowed appointment work, sends the patient a link or leaves something for staff. Some messaging products also include AI, so the label does not answer the question. Hello Patient’s agent uses approved practice information, handles configured appointment work and sends the requests your practice routes to staff with what the patient said.
Which patient communication tools do dental offices use?
Hello Patient’s AI agents can work beside the communication tools a dental office chooses to keep. For each tool, check the exact module and the work it handles. Weave’s dental page describes reminders, text conversations, website self-scheduling and digital forms, and advertises an AI receptionist. Ask which of those modules are in the proposal and how they work with your systems. Test the product with a request that has to reach staff too. Our dental receptionist page explains Hello Patient’s role for dental practices.
How can a medical practice tell whether patient follow-up software books the visit or only sends a link?
With Hello Patient or another patient follow-up product, look for proof that the visit was booked, not just that a message was sent. For connected booking, ask the vendor to show the confirmed appointment in the system and the confirmation the agent gives the patient. For a link-based path, open the link and follow the same steps the patient has to complete. Decide how your team will measure a delivered link separately from a booked visit. Hello Patient’s agent books the visit straight into your schedule, so the time the patient hears is the time on your calendar.
Does patient communication software have to connect to the EHR, and does an AI agent beside it need its own connection?
Hello Patient’s AI agents work in your EHR or practice management system. They find the patient’s record and existing appointments, or create the record for a new patient. They book, reschedule and cancel visits inside the scheduling rules your practice sets, and leave a note on the appointment with what the patient said. For patient communication software, the work you assign it decides what connection it needs. Start with the information each request needs and the action the product has to complete. Then ask how each product gets that information or makes that change.
