A patient gets to the desk, but part of the information staff expected to have is missing. Before you buy a new check-in system, trace one scheduled visit and see what was supposed to be ready before the patient arrived.
Hello Patient builds AI agents for healthcare. Our agents handle pre-visit conversations by voice and text. They can tell patients which insurance plans your practice accepts, work with the patient record, and leave a note on the appointment. A check-in product handles the arrival work in its scope. Some vendors cover both pre-visit work and arrival, so timing alone will not tell you which product solves the problem. This page shows how to compare those two parts of the visit and decide who owns each task.
What does “checked in” mean on the staff screen?
“Checked in” means the patient has arrived and entered the arrival process that product handles. It does not mean everything needed for the visit is finished. That status is what staff use to decide what happens next.
PatientTrak describes patient sign-in, queue entry and staff notification as part of its kiosk offering. Ask the vendor to perform those steps while you watch the staff screen. You want to see the arrival, the queue entry and the notification the product creates.
A patient can be marked arrived while the practice still needs to see the insurance card the patient said they would bring. Ask what the status means in that case and who still handles the card.
PatientTrak describes pre-visit forms sent by text or email. Compare what each product does before arrival and at check-in across your locations.
What is ready before the patient arrives?
The appointment note can show what the patient said and what still needs to happen before the visit.
Use a booked, identified visit for the demo. Have a staff reviewer open the patient record and appointment note before the patient arrives. Say the note reads, “Patient will bring the new insurance card.” The note tells staff what the patient said, so the person at the desk knows to ask to see the new card.
Have the reviewer name that unfinished task and the person who will handle it at arrival. Then ask the check-in vendor what its product does with that part of the visit, if anything.
If the statement is not in the record or appointment note, find out where it went. An arrival feature only fixes that gap if the vendor can show how its product handles it. Stay with the same visit until you can say what is ready and who owns the rest.
Where does the patient’s pre-visit call fit?
The pre-visit call is where the patient can ask a question before reaching the desk. Our agents can answer accepted-plan questions by voice or text. They tell the patient which plans your practice accepts.
Hello Patient integrates with the EHR, practice management, and CRM systems healthcare already runs on. In your EHR or practice management system, the agent finds the patient's record and existing appointments, creates the record for a new patient, and leaves a note on the appointment with what the patient said.
Ask us to show you those actions in a demo.

Where did the missing information go before the patient arrived?
Start with the earlier contact and where its information went. The information may never have been recorded, or it may be in a record or appointment the receiving team has not opened. Finding where it went tells you what needs fixing. It does not guarantee that a new product will fix it.
Here is an example from a scheduled general-practice visit. The patient calls the group's main number before an appointment at the east location. When the patient arrives, staff at that location cannot find information the patient says they gave on the phone.
Review the earlier contact with the receiving team. Was the conversation recorded? Which patient record or appointment got the information? Was it tied to the east-location appointment? Compare what was captured with what the team can find.
Then use what you found to set the next demo. If nothing was recorded, ask the vendor to show that step. If the information went somewhere else, follow it there. For a different arrival model, the urgent-care AI receptionist guide addresses urgent-care use.
Can both vendors demonstrate the same visit?
Yes. Give both vendors the same scheduled visit at the same practice and location. Ask each one to show the output of its own work, then name the person responsible for anything left unfinished.
Use the patient who calls the main number before an appointment at the east location and says they will bring a new insurance card. Ask us to show the agent finding that patient's record and east-location appointment and leaving a note on it. Ask the check-in vendor to demonstrate its arrival status, queue entry or notification for that same visit. Write down what each demo produced.
Then name the person at the east location who will see the card. “Staff handle that” is too vague for this test. Say how that person will know the card still needs to be seen. Do the same for any other unfinished work.
Request a BAA from each vendor as part of the review. Our HIPAA review guide gives you a starting point. Choose the product whose demo showed it can fix the gap you found, once you know who handles the rest.

Frequently asked questions
Does patient check-in software also replace our intake forms?
Not always. Hello Patient handles pre-visit conversations alongside the check-in product, and that product may or may not include intake forms. Some sign-in products focus on arrival, while Phreesia describes intake forms and consents as part of its offering. Ask the vendor to show the exact forms your practice uses. An arrival feature by itself does not mean you can retire your current forms. Compare the forms in the package with your practice's requirements before you change what patients complete.
Does a patient check-in kiosk create an EHR record or just a sign-in entry?
It depends on the kiosk. Alongside Hello Patient's pre-visit conversations, the kiosk may have its own record functions. Its vendor needs to show whether it creates an EHR record or only records sign-in. Patient Check In documents side-by-side EMR viewing, but that does not show that the product writes a new record back to the EHR. Ask the vendor to start with the situation you need and then open the resulting EHR record. If the demo ends at a sign-in list, record creation has not been shown.
Will the kiosk show what the patient already told us by phone?
Maybe, but you need to see it on the receiving screen. Hello Patient's agent leaves a note on the appointment with what the patient said, so the detail is in your schedule before the patient arrives. In the demo, take one detail from the phone conversation and follow it into the appointment note. Then open the kiosk or staff screen where you expect that detail to appear. If staff have to open the appointment separately, include that step.
Can check-in consents and copays be completed before the patient arrives?
Yes, with some check-in products. The timing depends on the product you use for consent and payment. Phreesia documents electronic consents and pre-visit payments. Ask your vendor to show when the patient gets the request, when the patient can complete it, and where staff see that it is done before arrival. If you want to move this work earlier, test the exact consent and payment steps instead of assuming every check-in package handles them the same way.
What happens when a patient cannot use the kiosk?
Staff need an assisted sign-in route. When a patient has talked with Hello Patient's agent before the visit, what they said is in the appointment note when staff sign them in. Patient Check In documents manual sign-in by staff, so ask the vendor you are considering to show its own process. Use a patient who reaches the desk without finishing the kiosk steps. Watch where staff record the arrival and confirm that the receiving team can see it.
What if a patient has a question while using contactless check-in?
The patient needs a clear way to get help. Hello Patient can answer the practice questions you have approved, by phone or text. Ask the check-in vendor to show the help route the patient sees while using the product. If that route sends the patient to a call or text, ask one of your approved questions that way and listen to how the agent answers. Your practice also needs to decide who handles questions about the form itself so the patient can keep going.
